{"id":1832,"date":"2021-11-16T09:55:05","date_gmt":"2021-11-16T08:55:05","guid":{"rendered":"https:\/\/site.uit.no\/arcticdoc\/?page_id=1832"},"modified":"2026-04-15T20:57:23","modified_gmt":"2026-04-15T19:57:23","slug":"board-member","status":"publish","type":"page","link":"https:\/\/site.uit.no\/arcticdoc\/about\/board-member\/","title":{"rendered":"Become a board member"},"content":{"rendered":"\n<div style=\"height:24px\" aria-hidden=\"true\" class=\"wp-block-spacer\"><\/div>\n\n\n\n<p>The ArcticDoc board consists of 7 members in addition to any campus representatives at campus Alta, campus Harstad, and campus Narvik.<\/p>\n\n\n\n<p>Each winter, four of the board members are elected at the bi-annual general assembly (usually in December).<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Board Chair<\/li>\n\n\n\n<li>Chair of Academic Affairs<\/li>\n\n\n\n<li>Accountant<\/li>\n\n\n\n<li>Campus Engagement<\/li>\n<\/ul>\n\n\n\n<p>Each summer, the other three board members are elected at the bi-annual general assembly (usually in June):<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Vice Chair<\/li>\n\n\n\n<li>Chair of Social Affairs<\/li>\n\n\n\n<li>Chair of Communication<\/li>\n<\/ul>\n\n\n\n<div style=\"height:24px\" aria-hidden=\"true\" class=\"wp-block-spacer\"><\/div>\n\n\n\n<p>All members are elected for one year and receive compensation in the form of Annum or Contract extension. For more info contact us per e-mail!<\/p>\n\n\n\n<p>Being part of ArcticDoc is a formative experience that will figure positively on your CV and will help improve soft skills while creating a positive work environment. Each role has a specific set of duties:<\/p>\n\n\n\n<p><strong>BOARD CHAIR<\/strong><\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Attend and chair ArcticDoc Board meetings&nbsp;<\/li>\n\n\n\n<li>Maintain a line of communication between ArcticDoc, the university administration, and the unions&nbsp;<\/li>\n\n\n\n<li>Act as the face of ArcticDoc at meetings, presentations, and other university events&nbsp;<\/li>\n\n\n\n<li>Deliver reports at the bi-annual meetings with the general membership&nbsp;<\/li>\n\n\n\n<li>Meet and correspond with PhDs and Postdocs about issues they might be having in their position and, when necessary, direct them to the appropriate channels&nbsp;<\/li>\n\n\n\n<li>Make sure that ArcticDox is represented on every university committee requiring input from PhD and postdocs. Sit on the committees if time and language skills allow &#8211; or assign a delegate&nbsp;<\/li>\n<\/ul>\n\n\n\n<p><strong>VICE CHAIR<\/strong><\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Attend and take minutes at ArcticDoc Board meetings&nbsp;<\/li>\n\n\n\n<li>Accompany the ArcticDoc Board Chair to major meetings and presentations&nbsp;<\/li>\n\n\n\n<li>Represent ArcticDoc in the absence of the Board Chair&nbsp;<\/li>\n\n\n\n<li>Remind members of the ArcticDoc board to keep the documents on the shared drive updated&nbsp;<\/li>\n\n\n\n<li>Maintain contact and assess the needs of other campuses&nbsp;<\/li>\n<\/ul>\n\n\n\n<p><strong>ACCOUNTANT<\/strong><\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Attend ArcticDoc Board Meetings<\/li>\n\n\n\n<li>Communicate plans and activities which require financial contribution from UiT to the accounting department<\/li>\n\n\n\n<li>Regularly update the budget and ensure that all accounts balance&nbsp;<\/li>\n<\/ul>\n\n\n\n<p><strong>CHAIR OF ACADEMIC AFFAIRS<\/strong><\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Attend ArcticDoc Board Meetings<\/li>\n\n\n\n<li>Collaborate with other campus entities (University Library, High North Academy, etc.) to offer academic and professional development events for PhDs and Postdocs<\/li>\n\n\n\n<li>Coordinate participation (i.e., send out calendar invites)&nbsp;<\/li>\n\n\n\n<li>Create, distribute, and assess feedback forms&nbsp;<\/li>\n\n\n\n<li>As needed or requested, produce and execute events to address fellows\u2019 needs&nbsp;<\/li>\n\n\n\n<li>Participate in panel discussions at conferences&nbsp;<\/li>\n<\/ul>\n\n\n\n<p><strong>CHAIR OF SOCIAL AFFAIRS<\/strong><\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Attend ArcticDoc Board meetings&nbsp;<\/li>\n\n\n\n<li>Organize the Annual Christmas Dinner<\/li>\n\n\n\n<li>Organize the Annual Cabin Trip<\/li>\n\n\n\n<li>Organize the social activities around the June meeting.&nbsp;<\/li>\n\n\n\n<li>Organize monthly social events for PhD and Postdoc students at UiT which may include but not limited to pub nights, game nights, movie nights.&nbsp;<\/li>\n\n\n\n<li>Organize outdoor activities like BBQs, bowling nights, and minigolf<\/li>\n<\/ul>\n\n\n\n<p><strong>CHAIR OF COMMUNICATIONS<\/strong><\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Attend ArcticDoc Board Meetings<\/li>\n\n\n\n<li>Responsible for the flow of all ArcticDoc communication &#8211; Facebook, email, webpage, and Instagram &#8211; this includes creating Facebook events, sending out notifications via email, and sending out the ArcticDoc newsletter<\/li>\n\n\n\n<li>Answering questions from the ArcticDoc membership on Facebook, email, or Instagram;
