Additional information

Student support

We are able to support up to 5 presenting students (inc. PhD and ECR within 3 years of PhD completion) with a limited grant. The aim is to encourage new students and early career scientists to present at the conference and network with other more senior researchers. Up to 4,000 NOK per student can be applied for on a first-come-first-served basis. This grant can only be used to cover the registration fee, conference dinner (optional), flights (economy class), and accommodation.

Only students presenting talks or posters are eligible, and it will only be after you have presented that you can apply for a reimbursement of your expenses. Any additional expenses, or costs over the maximum value of the student support, must be covered by the participant.

Lunch, coffee breaks & poster session refreshments
It is important to us to organise a sustainable event and reduce food waste where possible, we therefore kindly ask that you select the days you will have lunch with us in the registration form. Lunch will include grab & go food options that will be served in Solhallen (outside of the Auditorium). Please specify any dietary requirements in the registration form.

In addition to the lunch, coffee/tea and snacks will be organised during the breaks, and refreshments (2 drinks per person) will be offered during the poster sessions.

 

Social events

Icebreaker at the Nordnorsk vitensenter – 13th September

The icebreaker for the conference will be held at the Nordnorsk vitensenter (Northern Norwegian Science Center) on the 13th September.  The science center has many interactive exhibitions, including a planetarium with a Northern Lights show. Refreshments (2 drinks per person) and some tapas finger food will be served. The conference welcome packs can also be collected during this icebreaker.

Arctic Bubbles Pint of Science event – 14th September

On the evening of the 14th September, we have a very exciting event planned: Arctic Bubbles Pint of Science! This event is a collaboration between CAGE and Pint of Science (PoS). It will be a night filled with many exciting talks and stalls from early career researchers from CAGE regarding Arctic methane. Arctic Bubbles PoS will be held at Storgata Camping in the city centre, and is a free event (drinks and pizza can be purchased at the venue at your own expense). If interested, please select this option during registration (it is free!) so that we have an overview of the number of attendees.

Conference dinner at Maskinverkstedet – 15th September

The conference dinner will be held at a local restaurant in the city centre, Maskinverkstedet, and it has a capacity of 110 people. Therefore, due to limited places at the restaurant this  organised on a first come first served basis. If you need to cancel your place, please contact Zeynep S. Sert (zeynep.s.sert@uit.no) or Mariana Esteves (mariana.esteves@uit.no).

The cost for the conference dinner is 750 NOK and it includes a welcome drink and a 3-course dinner (menu will be set 1 month before the conference dinner). Please specify in the registration form your dietary requirements.

 

Terms and Conditions

The following Terms and Conditions apply to you and your participation in this conference, both in-person and digitally. By registering to participate in this conference, you agree to these terms so please read them carefully.

Payment

All registration fees must be paid during registration. Payment must be made online using a VISA/MASTERCARD.

Attendee Cancellation Policy

All delegates have the right to cancel their registration in accordance with the conditions outlined below. Cancellation requests must be submitted in writing to Zeynep S. Sert (zeynep.s.sert@uit.no) or Mariana Esteves (mariana.esteves@uit.no) and must be received:

  • up to 30 days (14th August) before the first day of the conference to receive a refund of 80% of the registration fees (the remaining 20% that is not refunded is retained to cover processing fees); or
  • less than 30 days (15th August) and up to 15 days (29th August) before the first day of the conference to receive a refund of 50% of the registration fees (the remaining 50% that is not refunded is retained to cover processing and cancellation fees).
  • Cancellation requests received after the 29th August cannot be refunded.

Refunds are limited to the conference registration fee and conference dinner, with all other liabilities excluded. Refunds therefore do not include or cover the refund of expenses associated to travel, hotel or any other associated costs, except the conference registration fee and conference dinner.

Delegates who cancel their registration and request a refund, will not have access to the presentation recordings unless they create a new registration for digital participation.
